An ATS-readable résumé is a clear résumé first

Readable structure, accurate language and evidence of contribution help both software and people understand a candidate's experience.

Make the document easy to parse

Applicant tracking systems vary, but a straightforward document is a sensible starting point. Use familiar section headings, a logical reading order and selectable text. Keep key experience in the main body rather than placing it only in a decorative header, image or complex table. Save a clean PDF or Word file in the format requested by the employer.

A simple layout does not have to look plain. Consistent spacing, a restrained type scale and deliberate use of emphasis can create a polished résumé while preserving clear structure. Before sending, copy the text into a plain editor and check that the order still makes sense.

Connect experience to the target role

A résumé is most helpful when it makes relevant experience easy to find. A short profile can identify a professional focus, while the experience section shows where that focus came from. Candidates should adapt emphasis for a role, but avoid copying every phrase from a job advert without evidence behind it.

Use the terminology that hiring teams recognise when it accurately describes the work. Include standard names for tools, disciplines and qualifications, along with enough context to show where and how they were used. Keyword matching cannot replace a clear account of capability.

Show outcomes without overstating them

Strong bullets explain an action and its effect. Add scale, timing or a measure where it is accurate and useful. A precise statement about improving a hand-off across three teams is more credible than an unsupported claim to have transformed an entire function. Protect confidential information while still giving the reader enough context.

If a result belonged to a group, say so. Explain the part you owned and how your contribution connected to the team's work. This makes the evidence easier to discuss in an interview and helps a reader understand the difference between responsibility, participation and outcome.

Review details and file hygiene

Check contact details, dates, job titles and spelling. Use a consistent date style and explain a career transition briefly when doing so will help a reader follow the chronology. Remove hidden notes, tracked changes and unnecessary personal information before sharing the file.

Name the document clearly with your name and a short descriptor, then make sure the final file opens on another device. Keep a master version and a copy tailored to each application. A careful review is a practical act of respect for the people who will evaluate your experience.

Frequently asked questions

Is PDF or Word better for an ATS?

Follow the employer's instructions. If no format is specified, a text-based PDF or a standard Word document is usually safer than a scanned image.

Should a résumé use columns or graphics?

Simple layouts are generally easier to read across devices and tools. Put essential information in selectable text and check the reading order before applying.
